Please read these booking conditions carefully before traveling with us.

The following terms and conditions govern all bookings made with KailashBaseCamp ("Company," "we," "us," or "our"). By booking a trip with us, you ("Client," "you," or "your") agree to be bound by these terms.
1. Booking & Payment
- Deposit: A non-refundable deposit of 20% of the total trip cost is required to confirm your booking. This allows us to secure domestic flights, hotels, and permits in advance.
- Final Payment: The remaining balance must be paid upon your arrival in Kathmandu before the trek briefing, either in cash (USD, EUR, GBP, or NPR) or via credit card (subject to a bank surcharge).
- Required Documents: A scanned copy of your passport and a passport-sized photo must be provided at the time of booking for permit processing.
2. Cancellation by the Client
If you need to cancel your trip, you must notify us in writing. The following cancellation fees apply:
- 30 days or more before departure: Loss of the 20% deposit.
- 15 to 29 days before departure: 50% of the total trip cost is forfeited.
- Less than 14 days before departure: 100% of the total trip cost is forfeited.
- No refunds will be made for voluntary dropouts or leaving a trek early once it has commenced.
3. Itinerary Changes & Delays
- Unforeseen Circumstances: We reserve the right to modify the itinerary due to weather conditions, trail blockages, political strikes, or the physical condition of the group.
- Flight Delays (e.g., Lukla, Jomsom): Mountain weather is unpredictable. Delays or cancellations of domestic flights can happen. We are not responsible for extra costs incurred due to flight delays (e.g., extra hotel nights, food, or international flight changes). We highly recommend adding 1–2 buffer days at the end of your trip.
4. Travel & Rescue Insurance
Comprehensive travel insurance is mandatory for all clients. Your insurance must cover medical expenses, personal injury, death, and specifically emergency helicopter evacuation up to the maximum altitude of your trek (e.g., 5,500m+). You must provide proof of this insurance before starting the trek.
5. Assumption of Risk & Liability
- Traveling in remote regions of the Himalayas involves inherent risks, including altitude sickness, unpredictable weather, and limited access to immediate medical facilities.
- By booking with us, you acknowledge these risks and agree that the Company, its owners, and its guides are not liable for any injury, illness, death, or loss of personal property during the trip.
- Our guides reserve the right to stop you from continuing the trek if they believe your health or safety is at severe risk.
